The role of the Project Coordinator is to support the Creative Suite within HELLO!’s Commercial Department by managing the delivery of live campaigns and support the wider sales team with pre-partnership management. This is a hands-on role, balancing multiple campaigns across HELLO!’s platforms.
Key Responsibilities
Support the team with the project management of print and digital creative campaigns, including advertorials, shoots, branded content, competitions and social posts, as well as events and audio/podcasts.
Act as the lead point of contact for clients with booked campaigns.
Assist in managing standard online competitions, giveaways and promotions.
Work closely with the Digital Campaign Manager on post-campaign reports for clients with recommendations for future bookings.
Assist with the photoshoot process for commercial campaigns (booking models, photographers, studio, catering, etc), including liaising with agencies on costs and managing the invoice process.
Have strong relationships with internal stakeholders (subeditors, creative directors, writers, ad ops), ensuring they are fully briefed on campaigns.
Create and maintain relationships with external stakeholders (client, agency, studios, models, stylists, photographers, videographers, couriers, suppliers)
Create approximate timelines to provide to the sales team in the pitch stage of partnerships.
Create timelines when a campaign has booked, adhering to this as strictly as possible, but also allowing for a shift in prioritisation as new bookings come in (and managing the client when there is a change of plan).
Providing clients with the correct briefing form(s) for their campaign, ensuring it is fully filled in before sharing with the creative team to brief them and begin production.
Send clients weekly updates on delivery of their campaign when necessary.
Assist with ad-hoc and admin tasks to support the wider team.
